Tasks

A task records that someone is doing something. It is created where this was decided – within a topic – and remains linked to it. That is why tasks can only be created there and not in the overarching Tasks view.

What is involved in a task

A sentence that tells you what to do. Everything else is optional:

  • a note for anything the sentence doesn’t cover
  • a deadline, entered in your own words: tomorrow, in 3 days, 22 August
  • a person responsible. Without them, the task is listed as not delegated – it exists, but nobody has taken it on.

The four states

Open Not yet started
In progress Someone is working on it
Completed Done
Rejected No longer necessary

Where they come from

  • using the /task command in the composer
  • from a post: Task from this
  • from a selected section in the thread or in the document
  • in the ‘Tasks’ tab of the topic
  • from a completed decision, if the outcome is binding

The final step is the most important: without it, a decision ends up as a resolution, with no one knowing who is responsible for carrying it out.

When the topic ends

If a topic is archived whilst tasks are still open, these tasks will be discarded. The people responsible and those who created them will be notified. When archiving, Rhizome highlights this, showing the number of tasks affected.

A matter that has been resolved, on the other hand, still leaves its associated tasks to be dealt with. Not everything that forms part of a matter is dealt with the moment the matter itself has been decided.
