Working with documents

A topic may contain documents – texts that are intended to be kept on file: a draft, minutes, a fully formulated proposal. The thread next to it records how you got there.

A new topic starts without a document. You create one when you need it – and several if necessary.

For a topic of the concept paper type, the documents take centre stage right from the start. For all other topics, you bring them to the front via the tab.

Create, name, change

New Document creates a new document. If you don’t give it a title, it will be called Untitled document until you rename it – you can do this at any time.

If a topic has several sub-topics, you can switch between them using Switch Document.

A blank document asks you whether you want to start from scratch or use a template.

Deletion is permanent

A deleted document cannot be recovered. Unlike with threads, where archiving is almost always the better option, there is no middle ground here.

From the thread to the document

There are three ways, and they differ in terms of what is included:

  • Selected text in thread] is inserted as a quote into the document that is currently open. You won’t be asked for confirmation – the quoted sentence belongs where you’re currently reading.
  • An entire post via its menu: Add to document appends it to the document. If the thread has several posts, you can choose which one to add it to in the same step.
  • Create document from this turns the post into a separate document. Rhizome suggests a title based on the first few words.

!!! Tip: "The prompt below a long post" If you write a post that reads like a document, a line will appear below it suggesting you turn it into one – just for you, and only under your own post. It doesn’t interrupt anything and disappears automatically as soon as someone writes the next post.

Writing together

Several people can work on the same document at the same time. You can see the other people’s cursors in real time, each in their account colour – which each person sets for themselves in their settings.

Formatting

Above the text, you’ll find various formatting options.

A slash opens the menu containing the text blocks: headings, lists, quotes, code blocks, divider lines and expandable sections. If your organisation has created templates, these will appear in the same menu.

When you highlight text, a formatting bar also appears.

Comment

If you highlight a section of text, you can also add a comment to it. This is useful for asking questions or making notes that do not alter the text itself.

In the same way, a mark can also be turned into a task, a proposal or a quote in the thread – see thread] for more information.

Previous versions

Under Version history, you can see what a document looked like in the past and restore an older version.

Restoring will delete comments

When restoring a previous version, any comments currently attached to the text will be deleted. This is a technical limitation, not intentional – please save anything you want to keep beforehand.

When the topic is closed

In a solved or archived] thread, the documents are read-only. You can still view them, but not edit them. If you do wish to make a change, simply reopen the thread.
